1. PREAMBEL
The Alumni Club FH OÖ is particularly concerned about the protection of your personal data. This privacy policy regulates the handling of personal data and explains how we collect, store, process and, if necessary, pass on your personal data if you are a member of the Alumni Club FH OÖ. We process your data exclusively on the basis of the relevant legal provisions.
2. PRIVACY POLICY
The Alumni Club FH OÖ is the association responsible for data protection (the "responsible body"). It is an association with its registered office in Austria, 4020 Linz, Garnisonstrasse 21. ZVR number 891193562. Important cornerstones of our handling of data
2.1 Collecting data
In the course of processing your application for membership in the Alumni Club FH OÖ, we collect personal data such as name, address, e-mail address, telephone number, etc. (see point 3).
2.2 Use of data
We use your data for membership administration and for the transmission of information concerning the association's activities or the association's purpose. You can find out more about this under point 4.
2.3 Sharing and providing data
In general, we do not share your data with persons or organisations which are not within the sphere of the University of Applied Sciences Upper Austriaa). Exceptions are external service providers, lecturers, coaches, companies and software providers with whom the Alumni Club cooperates. Personal data will only be passed on or permission to collect such data will only be granted to the extent absolutely necessary for the fulfilment of the contract. Concrete examples of this are the use of commercially available software to simplify registration for events and to distribute information and newsletters. You also allow us to pass on data to dispatch service providers for the one-time postal distribution of special offers as well as to coaches, lecturers and company representatives* if, from their point of view, this is necessary to prepare an event in which you participate.
However, certain personal data such as your first and last name, the employer (company) registered with us and the degree programmes completed at the Upper Austria University of Applied Sciences can be viewed by other logged-in Alumni Club members in the results lists of the internal member search in the password-protected club lounge at any time after you have joined. Other personal data entered by you in mandatory and optional input fields marked with a footnote will only be displayed in the internal member search if you explicitly release their display. You can revoke this release at any time. Upon request of a regular Alumni Club FH OÖ member who participated in an Alumni Club FH OÖ event which you also attended, we may also pass on your first and last name to the requesting member.
a)In addition to the Alumni Club FH OÖ, all legally independent companies of the University of Applied Sciences Upper Austria belong to the sphere of the FH Upper Austria. Due to the technical infrastructure shared with the Alumni Club FH Upper Austria, these companies have access to your personal data, which will not be stored separately or used or processed in any other way (e.g. for contacting you) without your explicit consent. The Alumni Club FH OÖ may request personal data of students who fill out a membership application form at a faculty of the FH Upper Austria by hand to the extent necessary to generate a new Alumni Club member profile.

2.6 Security measures
We implement appropriate and sufficient security controls to protect your information. For the security and protection of your personal data, the Alumni Club FH Oberösterreich uses appropriate security technologies and procedures according to the current state of the art and implements technical, physical or administrative security measures (e.g. firewall, access and access restrictions, data encryption etc.). This is done to protect against unauthorized access, loss, transfer or modification, misuse or unauthorized disclosure of your data.
2.7. Storing data
We store personal data for the duration of your membership. In the event of termination during the current calendar year, your data will no longer be actively used, for example for contacting you, from the time of termination requested by you. Personal data will be deleted as soon as possible, but no later than 31 January of the calendar year following the cancellation. This extended storage period is necessary because the association has a legitimate interest in the preparation of detailed annual withdrawal statistics. Any storage beyond this period will only be carried out to the extent required by the current (May 2018) case law.

3. THE DATA WE COLLECT
We collect the following personal data: title, first name, last name, home address, gender, date of birth, telephone number (mobile phone), e-mail address, employer, industry, department, position in the company, status of membership, payment status of membership fees, course(s) attended or completed and year(s) of graduation.
4. LEGAL BASIS FOR THE PROCESSING OF DATA
We process your data on the following basis: With your application for membership of the Alumni Club FH OÖ you have given your consent to the processing of your data for the purposes stated in the privacy policy. This processing is necessary for the fulfilment of a contract which has been concluded with the conclusion of the membership.

6. ADDITION TO THE PRIVACY POLICY
If in doubt, we may request additional information to confirm your identity. This is a measure to protect your personal data. Furthermore, you have the right to have incorrect or incomplete data corrected or deleted, as well as the right to limit data processing, provided there are no legal reasons to the contrary. You have the right to data transferability, i.e. you can demand that we provide you with your data in a structured, common and machine-readable format. You also have the right to revoke at any time any consent granted for the use of your personal data.
In the case of manifestly unfounded or, in particular, in the case of frequent repetition, excessive applications for the exercise of these rights, the Alumni Club FH OÖ reserves the right to either demand an appropriate fee, taking into account the administrative costs for information or notification or the implementation of the measure applied for, or to reject the application. For further information or to exercise your rights, you are welcome to contact the above mentioned contact person. If you are of the opinion that your data is being processed contrary to the applicable legal provisions or that your data protection rights have otherwise been violated in any way, you may lodge a complaint with the Austrian data protection authority or with the competent supervisory authority.

7. HOW LONG DO WE STORE YOUR DATA
Your personal data will be stored for the duration of your membership in the Alumni Club FH OÖ, but at the most until 31 January of the calendar year following your cancellation. We will delete your personal data at the latest by this date, unless there are legal obligations to keep records (e.g. for tax purposes). In such cases, we may be obliged under applicable law to retain certain of your personal data for a period of up to 10 years after the end of the relevant tax year. We may retain your personal data after termination of the contractual relationship if this is necessary to comply with other applicable laws or if we need your personal data to identify, exert or defend a legal claim.
